Reporting to the Director of Finance and Operations, the core functions of this position are to:
- Support the day-to-day operations of the organization and its team,
- Support meeting and event logistics,
- Maintain bookkeeping and create financial reports,
- Maintain the contact record management system,
- Manage contracts and invoices,
- Assist in the maintenance of HR processes.
Roles and responsibilities:
Organizational Operations: (35%)
- Create and issue contracts, MOUs and invoices to vendors and other contractors
- Support virtual office logistics and maintain licenses and subscriptions
- Organize and manage organization’s internal files and documents (both physical and cloud)
- Support development operations needs, including CRM data entry and maintenance.
- Maintain shared office space, office equipment, and supplies
- Support event logistics such as reserving space and permitting
- Facilitate scheduling meetings, including setting up Zoom links and sending calendar invites
Finances: (35%)
- Collaborate with outside accountants to provide timely information for monthly and year-end reporting
- Assist the Director of Finance and Operations in creation of financial reports for staff and Board and financials for grant reports.
- Update bookkeeping monthly with income and operational expenses
- Ensure compliance with internal policy and 501(c)3 requirements for use of funds
- Collect W9s and supplier diversity forms from new vendors
- Ensure timely payments of invoices and collection of receivables
Human Resources: (30%)
- Facilitate the Culture Committee with the Director of Finance and Operations and support the creation of new staff policies.
- Assist the Director of Finance and Operations in employee benefits processes (e.g., manage open enrollment process, evaluate benefits package yearly) and maintain relationships with outside vendors
- Maintain up-to-date personnel information and files
- Create and maintain systems such as PTO tracking and staff time against grant-funded projects
- Help create performance and goal setting processes and manage annual performance review process
Skills and Experience
- At least five years of experience in nonprofit operations and two years of experience managing the operations of an organization
- Demonstrated ability to build relationships at all levels of an organization and work successfully on teams
- Excellent organization, time management, and detail orientation
- Exceptional project management skills, including coordinating multiple projects with diverse stakeholders and tight deadlines
- Excellent interpersonal and communication skills as well as a commitment to language justice
- Demonstrated ability to create, implement, and evaluate systems that support efficient operations, program delivery and events
- Understanding of non-profit compliance requirements

Location:
DPSF’s staff works remotely, with in-person staff meetings and has access to co-working space at WG Pearson Center in Durham. This position will involve in-person meetings and accessing the office (e.g., to pick up checks), so proximity to Durham, NC is required.
Compensation and benefits:
The starting salary for this position is $65,000. DPSF provides medical, dental, and vision insurance, individual professional development funds, a wellness stipend and unlimited paid leave.
